Overview

Octavia Housing Association is a not-for-profit housing and care provider managing over 5,000 affordable homes across Central and West London. Founded on the pioneering work of Victorian philanthropist Octavia Hill, the organisation provides affordable housing, sheltered accommodation, care services, and community support programmes.

Veriland Consulting delivered a two-part transformation for Octavia: upgrading their ageing Dynamics CRM 8.0 environment to the latest Dynamics 365 Customer Service platform, and building a resident-facing mobile application that gives tenants self-service access to rent accounts, repair requests, personal details, and communications — all securely integrated with D365 in real time.

The Challenge

Octavia Housing was operating on Microsoft Dynamics CRM 8.0 — a legacy version that was limiting both internal operations and the resident experience.

  • Outdated CRM platform: Dynamics CRM 8.0 lacked modern capabilities such as unified routing, AI-assisted case management, and the Power Platform integration available in current Dynamics 365 releases.
  • Legacy tenant web portal: The existing resident-facing web portal was outdated, difficult to use on mobile devices, and offered limited functionality — residents could not easily check rent balances, report repairs, or manage their details online.
  • Secure real-time integration: Any new mobile application needed real-time, secure integration with Dynamics 365 — without impacting D365 performance or exposing unrelated data to the internet.
  • GDPR compliance: As a housing association handling sensitive personal data for thousands of residents, any new platform had to meet stringent data protection and privacy requirements.
  • Digital inclusion: Many residents rely on smartphones as their primary internet device. A native mobile experience was essential to ensure equitable access to housing services.

Our Solution

Veriland delivered a comprehensive solution combining a CRM platform upgrade with a purpose-built mobile application, connected by a secure, high-performance middleware layer.

Dynamics 365 Customer Service Upgrade

Veriland upgraded Octavia's CRM from version 8.0 to the latest Dynamics 365 Customer Service release. The migration included data migration, customisation refactoring, workflow modernisation, and user retraining. The upgraded platform provides unified case management, enhanced reporting, and native Power Platform integration.

VeriConnect & VeriHousing Middleware

To bridge the mobile application with Dynamics 365 securely and without impacting CRM performance, Veriland deployed its VeriConnect and VeriHousing solutions. Built on Azure Service Fabric, Azure API Management, and Azure Cache for Redis, this middleware layer provides fast, reliable, and secure API access to CRM data — with caching, rate limiting, and data filtering that ensures only authorised resident-specific information is exposed.

Resident Mobile Application

The mobile app was built in React Native for iOS and Android, consuming Veriland's secure backend APIs. Residents can:

  • View rent account balances and transaction history in real time
  • Make rent payments directly through the app
  • Report repairs and track repair progress
  • View and update personal details including contact information
  • Check gas safety certificates and compliance status
  • Submit enquiries directly to the housing team

The app uses modern authentication including one-time password (OTP) via text message, ensuring secure access without the friction of traditional password-based login.

GDPR & Data Protection

The entire solution was designed with GDPR compliance at its core. Data minimisation principles ensure that only the information necessary for each API call is returned to the mobile app. Consent management, data subject access request workflows, and right-to-erasure capabilities were built into both the CRM and the middleware layer.

The combined CRM upgrade and mobile app deployment transformed Octavia Housing's digital relationship with their residents.

  • Digital inclusion: A smartphone-native experience ensures all residents — including those without desktop computers — can access housing services equally.
